QuoteMic

QuoteMic Privacy Policy

Effective date: September 15, 2026

QuoteMic is a business productivity tool for contractors and home-service professionals. It helps you create quotes from typed or spoken job descriptions. This policy describes how QuoteMic handles information in the current product.

Information we collect

QuoteMic starts with an anonymous installation identity. You can keep using the product without creating a public login. After you have used quoting, you may optionally link a sign-in to the same QuoteMic user so you can restore your businesses, Price Books, customers, quotes, and subscription on another device. On iOS, Sign in with Apple is always offered. Google Sign-In is not shown on iOS. On Android, optional Google Sign-In is offered. When the same person signs in with a verified non-relay email that already belongs to a QuoteMic user, QuoteMic restores that user instead of creating a second account. Apple Hide My Email addresses are not used as an identity key. When you use the app, we may process:

Voice recordings

Audio is uploaded only when you intentionally record a job description. That audio is sent to QuoteMic’s backend and then to OpenAI for speech-to-text. QuoteMic does not persist the raw audio file. The transcript may be stored as the quote’s source text so you can review and reuse the quote.

AI processing

We use OpenAI to transcribe voice recordings and to understand or extract work items from job descriptions. AI is not the pricing authority. Prices, taxes, and totals are calculated from your Price Book in our database after the parser returns structured work items.

When you share a professional quote, the app can generate a PDF on your device from the stored quote, business, and optional customer fields. QuoteMic does not run a server-side PDF renderer and does not store the generated PDF file.

For transcription, OpenAI receives the recorded audio and limited matching hints such as service names from your Price Book. For job parsing, OpenAI receives the job text, requested languages, and catalog names/units without prices. Job-parsing requests are sent with OpenAI storage disabled. We do not make contractual claims about OpenAI’s independent processing or retention.

Where information is processed

QuoteMic’s application servers and PostgreSQL database are hosted on Render. OpenAI is used as an AI processing provider. On Android, Google Analytics (Firebase) may receive product analytics events for first-party campaign measurement. Hosting, AI, and measurement providers may process data in order to provide their services.

Analytics

QuoteMic records product usage events to operate and improve the quoting flow and to measure paid acquisition. These events may include app open, onboarding, quote request or result states, paywall views, and subscription trial, purchase, renewal, cancel, and refund. Campaign identifiers from Apple Ads Attribution (AdServices) and the Google Play install referrer may be stored against the installation so later subscription events can be joined to the campaign that acquired the user. On Android, selected product events may also be sent to Google Analytics (Firebase). QuoteMic does not use an Advertising ID. Raw audio and full job descriptions are not intentionally included in product analytics. Analytics failures do not block quoting.

Advertising

QuoteMic does not display ads, does not use an Advertising ID for advertising, and does not sell personal data for advertising.

How we use information

We use this information to create and store quotes for the business that owns them, authenticate anonymous or linked sessions, isolate one business’s data from another, restore a linked account on a new device, operate transcription and job parsing, and understand product reliability. We do not use QuoteMic data to build advertising profiles.

Security

We use HTTPS in transit, keep server-side secrets on the server rather than in the mobile app, store access tokens in the device secure store on supported native platforms (and a local browser store on web), and restrict business data to the owning user. No method of transmission or storage is completely secure, and we do not claim absolute security.

Retention and deletion

Quote, business, Price Book, session, analytics, acquisition attribution, support messages, and related records are retained to operate the product until they are deleted. You can delete your QuoteMic account in Settings. That removes the user, linked sign-in identities, businesses, customers, Price Books, quotes, quote history, AI run records, usage events, acquisition attribution, support messages, and subscription/entitlement rows for that account. Installations are disconnected from the deleted user. We keep a limited audit record of the deletion itself, with the user identifier cleared. You can also follow the instructions at /account-deletion or email us.
